MC Express parts and inventory

MC Express offers perhaps its greatest "value add" in relation to Parts by allowing administrators and technicians to manage Parts away from a computer in the field or in a warehouse. This article provides a quick overview of how to go mobile with your inventory management in MC Express.

Note: This quick reference article assumes a basic knowledge of inventory management in the Main Application (MRO). To acquaint yourself with these basics, please visit the Inventory, Materials, and Purchasing section of the Knowledge Base.

ClosedNavigating and Filtering the Part Lists

As in the Main Application (MRO), MC Express allows you to access Stocked Parts (items kept in Stock Rooms) and Direct Issue Parts (items not maintened in a Stock Room). On the MC Express Home Page, you can either view the All Parts List (both Stocked and Direct Issue) or the All Stocked Parts List (Stocked Parts only):

  • Within both inventory lists, simply tap/select an item in the list to open the Part record:

  • To locate a specific Part, you can utilize the Global Search option from the Main Menu:

  • Or, you can set up filters to narrow down the Inventory list by specified criteria:

Whenever you access a Part record in MC Express, you will notice the following features:

  • At the top of the page, the Part Name displays along with an icon and a Description (if one has been defined for the Part), and it will indicate if the Part is Stocked:

  • By selecting the Action Dropdown Menu, you can take action on the Part itself:

  • Particularly, you can view the barcode for the Part by selecting the View Barcode option from the menu. If your mobile device is equipped with a label printer, you can print the barcode from this page, and affix it directly to the Part:

  • To view or edit more specific details about the Part, tap/select the various pages available. These pages function similarly to the Inventory tabs in the Main Application (MRO):

There are three different ways to create a new Part record in MC Express:

  • On the Home Page, select the Action Dropdown Menu for the Inventory header, and then select Create Part:

  • On either the All Parts List or the All Stocked Parts List, select the Action Dropdown Menu on the header bar, and then select Create Part:

  • When you access a specific Part record, select the Action Dropdown Menu, and then select Create New Part:

  • When you have accessed the New Part page using one of the above methods, fill in all the desired fields, keeping in mind that the fields outlined in blue are required:

Use the following steps to add an existing Part to a Stock Room

  • Access the Part in MC Express, and then select the Stock Rooms page:

  • Existing Stock Room associations will display based on the specified Repair Center:

  • Select the + button:

  • In the page that appears, you can specify details about the Stock Room association, including the appropriate Repair Center and Stock Room, and the current On Hand amount:

  • Select the Save option to finish adding the Part to the Stock Room:

Those who are on-the-go can use MC Express to receive inventory Parts that have been ordered and delivered. As with the methods for creating a new Part, you can select the Receive Parts option from three different areas: the Inventory header on the Home Page, and the Action Dropdown Menus on the Parts Lists and on an individual Part record:

Selecting the Receive Parts option will navigate you to the Part Receive page where you need to specify the Purchase Order from which the Parts are to be received. To do this, you can either type in the Purchase Order ID manually, use the PO lookup, or scan the barcode for the Purchase Order. After selecting the proper Purchase Order, select the Proceed button:

After proceeding, you can receive all the Parts on order by selecting the Receive All button, and then selecting the Save button:

Or, if you are only receiving a portion of the order, select the desired Line Item to receive. The Receive Item section will appear, from which you can receive all the Parts on order for that Line Item, or you can input a different number of Parts to be received for the Line Item in the Received Quantity field. Select the Apply button, and then the Save button:

ClosedHow to Use the Inventory Counting Tools

MC Express is a great tool for performing manual inventory counts, since it allows you to take Maintenance Connection with you to a Stock Room or other inventory site. To use these counting tools in MC Express, tap/select the Action Dropdown Menu for the Inventory header on the Home Page. The options to Count Inventory and Adjust On Hand Quantities are the two counting tools available in MC Express:

The Adjust On Hand Quantities tool lets you adjust counts directly in a stock room. The Count Inventory tool works the same way expect that it allows you to hold counts without actually applying them to stock room quantities. This gives you the chance to review counts before using the Apply Inventory Counts option to actually apply the counts to stock rooms.

After selecting one of these options, you will first need to use the dropdown lists, Inventory lookup, or scan icons to define the Part for which you want to adjust counts:

Once you have defined the proper Part, Current Count information will display. Type in the value for the current count, and select the Save button:

After saving a count in the Adjust On Hand Quantities tool, the count you entered automatically applies to the specified Stock Room. However, with the Count Inventory tool, you must use the Apply Inventory Counts option from the Action Dropdown Menu in order to actually apply the counts to the system:
